What is succession planning?

Succession planning: The process of identifying critical roles, naming the people who could step into them and developing those people so they are ready when a vacancy arises.

Succession planning is the process of identifying the roles an organisation cannot afford to leave empty, naming the people who could step into them, and developing those people so they are ready when the moment comes. It is usually focused on leadership and other critical positions, where a sudden vacancy would disrupt operations, customers or regulatory obligations.

A useful plan records more than names. For each critical role it shows the likely successors, how ready each one is — ready now, ready in one to two years or ready in three or more — and what would close the gap for those who are not ready yet. It also shows where the pipeline is thin: roles with no credible successor, or several roles depending on the same person.

The usual weakness is age. A plan assembled for a board meeting and then left on a shared drive is out of date within months. Succession planning software keeps it live by drawing on the same data used in reviews.
